Executive Admin
JOB SUMMARY
The Executive Assistant provides high-level administrative support to the School Rector, managing complex calendars, communications, and administrative functions while serving as a key liaison between the Rector's office and internal/external stakeholders.
Key Responsibilities
Administrative Support
- Manage the Rector's calendar, including scheduling meetings, appointments, and travel arrangements
- Handle confidential correspondence, emails, and phone calls with discretion
- Prepare and edit documents, presentations, and reports
- Maintain organized filing systems, both digital and physical
- Coordinate logistics for meetings, events, and conferences
- Take and distribute meeting minutes for senior leadership meetings
Communication & Liaison
- Act as the primary point of contact between the Rector and internal/external stakeholders
- Facilitate communication with the Board of Trustees, faculty, staff, students, and external partners
- Draft and manage correspondence on behalf of the Rector
- Coordinate with other administrative staff across different departments
- Represent the Rector's office in various meetings and committees as needed
Project Management
- Track and follow up on action items from meetings and initiatives
- Coordinate and manage special projects as assigned by the Rector
- Monitor project timelines and ensure deadlines are met
- Prepare briefing materials for the Rector's meetings and presentations
- Assist in the preparation of annual reports and strategic planning documents
Qualifications
Required
- Bachelor's degree in Business Administration, Education Administration, or related field
- 5+ years of experience in executive-level administrative support
- Exceptional organizational and time management skills
- Advanced proficiency in Microsoft Office Suite and digital collaboration tools
- Outstanding written and verbal communication skills
- Demonstrated ability to handle confidential information with discretion
- Strong problem-solving and decision-making abilities
